Ontario has PHIPA (the Personal Health Information Protection Act); Alberta has HIA (the Health Information Act); in BC, private clinics generally fall under PIPA (the Personal Information Protection Act). Your privacy officer owns the interpretation; we make the safeguards real and evidenced.

Referrals, consult letters and results still move by fax. The realistic answer is cloud fax with an audit trail and delivery into the chart.

    Sign-in made fast, battery backup where it matters, and multi-factor authentication (a second check, usually on a phone, before a login is accepted) on email and remote access.

    Your privacy officer gets a written description of what is in place, access control, encryption, logging, backup, disposal, in plain language.

Questions

What people ask before they sign anything.

Do you support Telus PS Suite, Accuro or OSCAR?

We support all three as platforms: workstations, network, printing, scanning and integrations. Templates, billing rules and clinical workflow inside the product belong to the vendor.

What do PHIPA and HIA actually require from our IT?

A custodian must protect health information with reasonable safeguards: access limited by role, individual accounts, encryption, logging of who looked at what, secure disposal, tested backups, and a documented process when something goes wrong.

Can we get rid of the fax machine?

You can replace the machine, but not the fax number, referrals and lab results still arrive that way. Cloud fax keeps your number, delivers incoming faxes as documents that can be filed into the chart, and removes the paper sitting in an open tray.

What happens to bookings if our internet goes down?

With a hosted EMR a lost connection means no charts, so a cellular backup that fails over automatically is worth its small cost. Alongside it you want a downtime procedure the front desk can follow: a printed day sheet each morning.

How do we stop charts being left open on shared exam-room computers?

Make signing in fast enough that nobody has a reason to stay logged in as someone else, badge taps, PINs or fast user switching remove the incentive that long passwords create.
