A separate copy of mail, files and Teams content, retained on your terms and tested by restoring. Microsoft keeps the service running; keeping your data is your side of the agreement.

Quick wins, then structure
Idle licences reclaimed and stale guests removed first, because they cost money and take days. Structure and permissions follow, on a plan you agreed.

Routine, from then on
Monthly administration, quarterly licence and access reviews, and a standing decision about who may approve new tools. Sprawl is a maintenance problem, so it gets maintenance.

Microsoft’s bill is per user, per month, at published prices. Two things move it more than people expect: the plan mix, since one tenant can hold different plans, and the billing term, because Microsoft charges a premium for monthly billing on an annual commitment.

Questions
What people ask before they sign anything.
Does Microsoft back up our data?
Not in the way most people mean. Microsoft keeps the service available and offers short-term recovery, deleted SharePoint and OneDrive items sit in a recycle bin for 93 days by default. That is retention, not backup: it does not help with a deletion found six months later. Microsoft’s own terms recommend keeping your own copy.
How do we stop Teams and SharePoint sprawl?
Decide who may create a Team, and give every one an owner and an end. Most tenants let anyone create them. The fix is a short naming and ownership standard plus a quarterly sweep that archives what finished.
Are we paying for licences we do not use?
Very possibly, and it takes an afternoon to check. The usual findings are seats still assigned to people who left, a tier bought for one feature nobody adopted, and paid tools duplicating something Microsoft already includes, file sync, video meetings and e-signature most often.
What happens to a mailbox when someone leaves?
Three sensible options, chosen deliberately: convert it to a shared mailbox, which frees the licence and keeps the contents reachable; delegate access to a manager for a fixed period; or export and archive it. In every case the account is disabled, active sessions revoked and the licence reclaimed on the last day.
Can you manage our tenant if a different provider set it up?
Yes, and it is the common case. We start with a written review of what exists, including the settings left at their defaults. Where we would do something differently we will say what and why, without a word against whoever made the original choice.
